ProcessOS is a product of River Group, a New Zealand-registered company. This Privacy Policy explains how we collect, use, store, and protect personal information when you use our website, AI demos, and related services.

We comply with the New Zealand Privacy Act 2020 and applicable data protection laws.

2. Information we collect

We collect information in the following ways:

Information you provide:

  • Contact details when you book a call or submit an enquiry (name, email, company)
  • Text input you provide to our AI demos and chat features
  • Information in the Partner Fit Assessment

Information collected automatically:

  • IP address and browser type for rate limiting and security
  • Page views and navigation patterns (analytics, when enabled)
  • Device type and screen resolution for optimising your experience

3. How we use your information

  • To provide and improve our services, including AI demos and chat
  • To respond to your enquiries and partnership applications
  • To enforce rate limits and prevent abuse of our AI services
  • To improve the quality of our AI models and outputs
  • To send you information you have requested (e.g., industry launch notifications)

4. AI data handling

When you use our AI demos or chat features:

  • Your input text is sent to third-party AI model providers (e.g., OpenAI, Anthropic) for processing
  • AI conversations are session-scoped and stored in your browser — they are not persisted on our servers unless explicitly saved
  • We do not use your demo input data to train AI models
  • Do not input sensitive personal information, confidential business data, or trade secrets into demo features

5. Cookies and tracking

We use essential cookies for site functionality (e.g., session state, rate limiting). We may use analytics cookies to understand site usage. You can disable non-essential cookies in your browser settings.

6. Third-party services

We use the following third-party services that may process your data:

  • AI model providers (OpenAI, Anthropic) for AI chat and demo features
  • Vercel for website hosting and edge functions
  • Supabase for data storage and authentication
  • Google Calendar for booking appointments

7. Data retention

We retain personal information only as long as necessary for the purposes described in this policy. Contact enquiries are retained for up to 24 months. AI demo inputs are not retained beyond the session. Rate limiting data is retained for 7 days.

8. Your rights

Under the New Zealand Privacy Act 2020, you have the right to:

  • Access the personal information we hold about you
  • Request correction of inaccurate information
  • Request deletion of your personal information
  • Withdraw consent for marketing communications
